How to choose a POS for a franchise F&B outlet: ten questions to ask

Ten questions to ask before you sign for any POS: head-office reporting, offline mode, payments, QR ordering, e-Invoicing, hardware and support.

A franchise outlet is not an independent café. Head office wants comparable numbers, customers expect the same payments in every outlet, and the tills must keep working when the internet does not. Ask these ten questions before you sign for any POS, ours included.

Does your franchisor require a specific system?

Some franchisors specify the POS, or the format of the sales reports they receive. Read your franchise agreement first. If a system is mandated, the choice is made. If only reports are mandated, ask whether the POS can produce them.

Can head office see every outlet, and can you?

Ask for sales by outlet, by item and by payment type, and for reports by date range. GEBME POS has multi-outlet and franchise features, and produces sales, payment, item and operations reports by date range that you can export.

Can the menu and prices change once for every outlet?

Ask to see it done: change one price and watch it reach two outlets. A franchise cannot afford outlets that drift apart.

What happens when the internet drops?

Ask the vendor to unplug the router in the demo. Orders should still go through and sync when the connection returns. GEBME POS keeps an offline queue for exactly this.

Which payments does it take, and through which gateway?

A customer expects DuitNow QR, e-wallets, cards and cash. Ask which payment gateway sits behind the cards and wallets, what it charges, and when the money reaches your bank. GEBME POS lists iPay88, Fiuu, gKash and Curlec as gateways.

Can customers order from the table?

QR ordering takes pressure off the counter. Ask whether the QR codes are static or dynamic, whether tables are tracked, and whether customers can pay online or at the counter. GEBME POS supports static and dynamic QR with table tracking.

How does it handle stock and recipes?

If a portion of chicken rice uses rice, chicken and sauce, stock should reduce when the sale completes. Ask whether items or recipes can be linked, and whether you get low-stock alerts per outlet.

Can it issue e-Invoices?

Businesses below RM3 million in annual income or sales are exempt from mandatory e-Invoicing from 1 September 2026, but not where a related company or shareholder has turnover of RM3 million or more, which can catch outlets owned through a group. Ask whether the POS supports MyInvois in case you need it.

What hardware does it run on, and who fixes it?

Ask what terminals, handhelds and printers it runs on, who supplies them, and who you call when a printer fails on a busy night. Warranty varies by product, so ask for it in writing.

Who answers on a Friday evening, and what does it cost to leave?

Ask about support hours and channels, and how fast they respond. Ask whether it is a subscription or a one-time purchase, what renewal looks like, and whether you can take your data with you.
