The questions Malaysian SME owners ask before they choose software. Answers come from the makers' public pages and from our own terms. Where an answer depends on your business, it says so.
Choosing
Which software do I need for my kind of business?
It depends on what you run. A shop or F&B outlet usually needs a point of sale, books and payroll. A distributor or online seller also needs stock and warehouse control. Pick your kind of business to see the stack that usually fits, or book a consultation and we look at how you work before recommending anything.
Do I need all of these products, or can I start with one?
You can start with one. Start with the part that causes the most trouble today, such as the till or the accounts, and add the others when you need them.
Do the products work together?
Several do. SQL POS integrates with SQL Accounting, SQL Payroll integrates with SQL Accounting, an integration between GudangSys and SQL Accounting is available, and GEBME POS supports Fiuu as a payment gateway. Each product page lists what it works with.
Can I add or switch products later as I grow?
Yes. You can add products when you need them, for example payroll or a warehouse system once the till and accounts are running. If you are moving from another system, we can migrate data that can be exported to Excel. Migration is charged separately.
What is the difference between cloud and desktop software, and which suits me?
Desktop software is installed on your own computer or server and keeps your data there. Cloud software runs online and needs an internet connection. SQL Accounting comes in both forms, and GudangSys and ODiN are cloud based. A business with one site and a settled team often does well on desktop. A business with several sites or remote staff often leans cloud.
The consultation
What happens in a consultation?
We look at how your business runs today: your outlets or warehouse, how you sell, and how you handle stock and staff. Then you see a demo of what fits. After the demo, our support team joins to go through pricing with you.
Is the consultation free, and how long does it take?
The introductory consultation is free. If you go ahead and confirm you are investing in the software, the follow-up sessions are included in the configuration service. How long it takes depends on the size of your operation.
What should I prepare?
Nothing. We come to see your set-up ourselves. After you confirm you are going ahead, we ask for your current invoices, stock list and staff list, which are needed for customisation and integration.
Where can we meet?
At your premises in Sabah, at our office in Metro Town, Kota Kinabalu, or by phone. POS and accounting projects normally run fully remote, so you can be anywhere in Malaysia. For a warehouse system we do the on-site evaluation free of charge. Travel outside Kota Kinabalu depends on the scale of the project.
How soon will someone contact me?
Within one business day. We contact you by phone or email to agree a time. Consultations run Monday to Saturday, 10:00 am to 6:00 pm.
Price
How much does it cost?
We do not publish prices, because the price depends on the product, how many outlets and users you have, and what has to be set up or customised. After the demo, our support team goes through pricing with you. Each product page explains how that product is priced.
Is it a one-off purchase or a subscription?
It depends on the software. We offer both subscriptions and one-time purchases. SQL Accounting, for example, uses perpetual licensing, so you buy it once and keep it, while GEBME POS is an annual subscription.
What else might I pay for besides the software?
Depending on your set-up: POS hardware such as terminals, printers, scanners and cash drawers; networks, servers or computers if you need them; data migration, which is charged separately; on-site service visits; customisation on request; and any service contract. Your proposal sets out what applies to you.
Do I need a support or service contract, and what if it lapses?
It is your choice. When a service contract ends you can renew it or carry on on your own. E Stream's FAQ says SQL service contract subscribers get unlimited support and employee training, while non-subscribers are charged per support ticket.
Set-up
How long does set-up take?
Typical time from signing to going live: SQL Accounting 1 week (2 weeks with data migration); SQL Payroll 1 week (2 weeks with data migration); SQL POS 1 week (2 to 3 weeks with data migration); GEBME POS 1 week; GudangSys 1 month (at least 3 months with data set-up); ODiN 1 month (at least 3 months with data set-up); Fiuu 3 days from application to first live payment.
Can you move my data from Excel or my old system?
Yes, as long as your data can be exported to Excel. Migration is charged separately. For SQL products, E Stream's process is to fill its Excel template and then migrate the data.
Is training included?
Training is available on site or online, depending on how complex your set-up is. It is discussed after the demo. For SQL products, E Stream states that employee training is free for service contract subscribers.
What hardware do I need?
For a counter: a terminal or PC, a receipt printer, a barcode scanner and a cash drawer, depending on how you sell. For SQL Accounting on a PC, E Stream lists Windows 10 or later, an Intel i5 or better and 4 GB of RAM. POS peripherals such as terminals, printers, scanners and cash drawers are supplied through our partner. Networks, servers and computers are supplied by Hakobi. Warranty varies by product.
Support
What support do I get after go-live?
Support is through a WhatsApp channel, Monday to Friday, 8:00 am to 5:00 pm, excluding public holidays (Malaysia time). Our response target is 4 hours. Support requests are unlimited. On-site service is charged.
Who do I contact when something goes wrong?

Compliance and data
Do I need e-Invoicing (MyInvois)?
Businesses with annual income or sales below RM3 million are exempt from mandatory e-Invoicing from 1 September 2026. The threshold was RM1 million before. The exemption does not apply where you have a non-individual shareholder, holding company, related company or joint venture with annual turnover of RM3 million or more. Check your own position with LHDN or your accountant. SQL Accounting and GEBME POS both support MyInvois if you want to use it early or your customers ask.
Is the software SST-ready?
SQL Accounting lists SST among its core features. For the other products we confirm SST handling at the consultation.
Does payroll stay correct when EPF, SOCSO, EIS or PCB rules change?
E Stream states that SQL Payroll calculates EPF, SOCSO, EIS, PCB and HRDF at the latest contribution rates. When a rate changes you need the current version of the software. If you are unsure whether your copy is current, ask on the support channel. SQL Payroll prepares the forms and files, but it does not submit them to the agencies for you.
Where is my data stored, and can I take it with me?
It depends on the product. SQL Accounting's desktop edition keeps your data on your own computer or server, and E Stream states that SQL Cloud gives you 100% database ownership. GudangSys and ODiN are cloud services. GEBME POS lets you export sales, payment, item and operations reports. We confirm where each product keeps your data, and how you export it, at the consultation.
How is my customers' and staff data protected (PDPA)?
Under Malaysia's Personal Data Protection Act you are responsible for the personal data of your customers and staff. Choose software that controls who can see what, keep backups, and limit access to the staff who need it. We look at this with you at the consultation. Fiuu, which handles card payments, is PCI DSS compliant and ISO/IEC 27001:2022 certified.
